Calderstones School is excited to offer a rare opportunity for an experienced Administration Officer to join our well-established Student Services Team on a job-share basis.
This is an excellent chance to become part of a close-knit, supportive team that plays a vital role in the daily life of our school community. The successful candidate will work collaboratively to provide outstanding support to our students, staff, parents, and visitors.
Our Student Services Team is at the heart of our school, acting as the first point of contact for students’ day-to-day needs. As such, it is essential that the successful candidate takes a proactive approach — responding promptly and helpfully to student queries, anticipating their needs where possible, and offering reassuring and practical support to help them thrive.
This position is part of a job share, working 18 hours today on Wednesday to Friday each week during term time (8.30 am – 3.15 pm), and is initially offered on a one-year fixed term contract, with the possibility of becoming permanent.
In addition to supporting students, the team ensures attendance and behaviour data is accurately recorded and monitored, and co-ordinates clear communication with parents and external organisations. Excellent organisation, communication, and administrative skills are therefore essential.
Key responsibilities include:
• Delivering a high-quality administrative service, including processing accurate information, preparing letters, reports, and emails to a high standard, and maintaining secure filing systems.
• Providing an exceptional level of customer service, including managing telephone calls, welcoming visitors, handling deliveries, liaising with parents, administering basic first aid, supporting with medication, and responding proactively to day-to-day student queries.
• Managing daily correspondence with parents and carers, including behaviour-related communication.
• Offering general clerical and administrative support under the direction of senior staff.
While not essential, experience in an educational setting and familiarity with SIMS or Bromcom are highly desirable. A qualification in Business Administration (or equivalent experience) or OCR/RSA would be advantageous.
The ideal candidate will have excellent customer service skills, a positive and approachable manner, and the confidence to take initiative in a busy environment. They will be self-motivated, dependable, and a genuine team player.
A minimum of grade C/grade 5 in Maths and English is essential.
